How to choose the right cloud solution for your ERP

Choosing the right cloud solution can feel overwhelming and to make it worse there are different types of solutions to take into account. Here we explore what the difference is between having your ERP in a private cloud, a shared cloud, or a multi-tenant cloud. To our help, we have our Head of Product Management Lars Hellberg who explains.  

What does Multi-Tenant Cloud mean?

- Multi-tenant is when you share systems or resources with others, that is, several users independently use the same system without noticing each other. The cloud is shared between several tenants, explains Lars Hellberg.

What does Multi-Tenant mean when it comes to ERP?

- If you have your ERP in a multi-tenant cloud solution, you share system resources with other companies. Data and settings are kept separate, but all users use a common version of the ERP system. This can become problematic when it comes to updates, especially when all the tenants are prompted to update at the same time. This might not be ideal for you if it happens at your busiest time of the year, an exceptionally bad time to be forced to do an update, says Lars.

What does Private Cloud mean?

- With a private cloud, you get many of the benefits of a shared cloud, such as self-service, scalability and elasticity. But another huge advantage is the increased control and security and not having to share resources with other companies. There is an increasing demand for private clouds, more customers are aware of the benefits and require this for their ERP, says Lars.

What does Private Cloud mean when it comes to ERP?

- For many, it feels safer to use a private cloud for their ERP since it is such a crucial part of the business which handles critical data. With an ERP in a private cloud, you are not affected by other customers running against the same environment. You are also in control of when updates are carried out which is a great advantage. With a private cloud, you can plan updates when it suits you and your business best and you do not have to worry about problems occurring with the update, says Lars.

Are there other types of cloud solutions than the ones mentioned above?

- Yes, you can combine your private cloud with a shared cloud and create a hybrid architecture, where you have your ERP in a private cloud but use services that are shared with others. You can compare it to a block of apartments, all residents have their own apartment but share some common facilities, such as a laundry room and garage, says Lars.

What are the main differences between Private and Multi-tenant clouds?

- With a private cloud, you gain control, and you have more opportunities to make customizations. You also control when the system is updated. Multi-tenant cloud is often cheaper in operation as you get economies of scale from sharing with others. But the risk is not controlling updates as well as the risk of disruptions when updates are carried out.  

What aspects are important to consider when choosing a cloud solution for your ERP system?

- The single most important question you should ask yourself is how you would prefer to handle updates and how these should be carried out in relation to your business. What impact will the number of updates have on the business? If your company produces garden equipment, you are most likely very busy during the springtime and it is not a good idea to have a major system update that could possibly disrupt the business, explains Lars.
